OPPORTUNITY:

We are looking for a smart, competent, and enthusiastic Executive Assistant (EA) for the Western US Senior Executive Team. The EA position is an integral part of the team and needs to be extremely proactive in anticipating and adapting to the needs of a highly dynamic team. The ideal candidate must be experienced in handling a wide range of administrative related tasks and be able to work independently as required. The candidate must also have the ability to work well in a fast-paced organization and manage multiple tasks and conflicting priorities, sometimes under pressure, with accuracy, flexibility and attention to detail.

PRIMARY RESPONSIBILITIES:

  • Anticipate the day-to-day needs of the executive team making any possible allowances for a fast-paced, rapidly changing schedule

  • Maintain and manage heavy calendar volume, and communicate with internal and external executives, assistants, and other individuals

  • Manage all travel arrangements (including the preparation of comprehensive travel itineraries) and other reservations

  • Work and travel to events, as needed. Must be very flexible with personal schedule for traveling and working events (both local and national)

  • Conserve the executive team’s time by reading, researching, and routing e-mail and other correspondence, including those of a sensitive or confidential nature; drafting e-mails and documents, initiating communications, and maintaining positive relationships on behalf of executive team.

  • Keep executive team informed of upcoming commitments and responsibilities, following up appropriately

  • Provide a bridge for smooth communications between the executive and other internal departments; demonstrating leadership to maintain credibility, trust and support with senior management

  • Proactively build agendas, create presentations, compile, and assemble meeting materials for all meetings attended by executive. Must be proficient in Mac and Microsoft Suite.

  • Must be highly organized and pay strict attention to numerous details. Must have excellent listening skills.

  • Keep up with executive’s expenses, file and submit them in a timely manner. Work closely with finance to submit and track expenses.

  • As the first line of communication, requires a positive and up beat demeanor.

REQUIRED EXPERIENCE:

  • 3+ years of executive assistance experience

  • Professional and personable: ability to interact professionally with a wide range of internal and external stakeholders

  • Detail-oriented: highly organized with strong attention to detail, effectively juggles, prioritizes and plans work activities and uses time efficiently

  • Effective communicator: articulate verbally and in writing, listens carefully, and proactively seeks clarity

  • Cool under pressure: ability to expeditiously solve problems, exercise sound judgment, and remain poised in a fast-paced, high-pressure environment

  • Initiative: not only anticipates principals’ needs but proactively searches for how things can be improved

  • Strong organizational skills, attention to detail, and problem-solving skills

  • Proven experience managing projects independently;

  • Proficient in Excel, PowerPoint, Outlook, and Word

  • Exceptional written and verbal communication skills

  • Ability to succeed in a fast paced, changing environment that requires the ability to “multi-task” and implement high priority initiatives

  • High attention to detail

  • A bachelor’s degree from an accredited institution, preferred

  • Authorized to work in the US without sponsorship
