Job Summary:
Assists top-level executive(s) by providing secretarial and administrative support, frequently involving confidential matters.
Job Description
Prepares correspondence, reports, and other administrative tasks
Screens telephone calls, greets visitors, and responds to general inquiries.
Schedules appointments, plans meetings, keeps phone logs, maintains calendars, coordinates travel arrangements and processes expenses.on behalf of VP and Director of Artist Relations
Assist with managing, tracking and compiling artist assets secured for Programming events, tentpole events and Sales initiatives
Manages artist programs as assigned
Local production oversight for national content captures, acting as the first point of contact for all visiting. Brief talent on concepts upon arrival.
Liaise with National editorial and social teams, Entertainment Enterprises and Networks to produce fleshed out concepts for day to day artist captures
Provides detailed recaps for labels following execution of artist programs
Develop pitch and recap decks, including valuations and artist profiles for iHeart programming and sales initiatives
Assists with the production and execution of annual music summits
Keeping aware of short and long-term roadmaps on new releases, tours, etc, and using that awareness to identify and secure talent for iHeartMedia performances, client programs and other initiatives
Assists with prepping weekly updates on behalf of AR team and deck for NPG meetings
Take notes on key calls & meetings as assigned by VP and Director of Artist Relations
Assist with booking travel for key executives and expense management
Represent iHeartRadio National Artist Relations team at local shows and artist showcases
Handles confidential matters with absolute trustworthiness; ensures interactions and transactions are ethical and convey integrity.
Anticipates and interprets the needs of management staff without direction.
Arranges for back-up when not at desk.
Competencies/Skills
Advanced PowerPoint and Excel skills a must.
Remarkable attention to detail and a flare for follow-through.
A flexible schedule with the ability to work weekends/odd hours
Excellent time/project management skills; ability to multi-task.
Great people skills and a positive attitude are a must.
Proficiency in Microsoft Office suite, social media platforms and search tools
Graphic design skills and ability to use Adobe Illustrator and Photoshop a plus
Trustworthy when dealing with confidential and private matters
Proven ability to set standard of performance excellence for self, assumes responsibility & accountability for assignments or tasks, goes beyond what is expected
Stress tolerance: composure when faced with difficult/demanding situations and/or personalities and shifts in priorities and/or tasks
Excellent oral and written communication skills, excellent grasp of grammar; actively listens; clearly and effectively conveys information; uses professional telephone skills
High degree of collaboration with all levels in the organization
Can work independently without close supervision
Excellent analytical and decision-making skills
Time management: uses appropriate tools to manage time; focuses on urgent and important tasks; shows strong attention to detail; meets deadlines
Ability to multi task in a fast-paced environment
Work Experience
1-3 years’ experience as Executive Assistant
Media experience preferred
Education
- 4-year college degree preferred
